Acceptable use policy

This policy is part of the terms of service. It applies to everyone who uses Chronix Scribe. Chronix Scribe is provided by Chronix Health Group Ltd (company number 16663224, registered in England and Wales, registered office 11-13 Upper High Street, Epsom, Surrey, KT17 4QY, ICO registration ZB962513).

You may use Chronix Scribe to

• document consultations you take part in as a healthcare professional, or as staff authorised by a healthcare organisation;
• draft notes, letters, summaries and documents for your own clinical work and your organisation's.

You must

• get the agreement of everyone present before every capture, using the consent step in the app, and stop straight away if anyone withdraws;
• review every draft, check the source links, and correct it before you sign;
• keep your sign-in details to yourself — one person, one account;
• follow the law and your professional regulator's standards on confidentiality and records.

You must not

1. Capture without agreement — never record, transcribe or document anyone who has not agreed, and never hide that Chronix Scribe is listening.
2. Upload other people's information without authority — only enter, paste or upload personal information (including images and earlier notes) you are entitled to process for that patient's care.
3. Try to make the AI give clinical judgements — do not prompt, script or configure Chronix Scribe to originate a diagnosis, differential, treatment option, risk score or calculation, or to present its output as clinical advice. The AI records only what was said.
4. Rely on a draft you have not reviewed — never send, file or act on an unsigned draft as if it were a clinical record.
5. Use it for emergencies — Chronix Scribe is not monitored and is not a way to raise an alarm.
6. Break or probe the service — no attempts to reach other organisations' data, bypass access controls, rate limits or the consent step; no scraping, reverse engineering, load testing or security testing without our written permission. If you find a vulnerability, report it to support@chronixhealthgroup.com and we will work with you.
7. Misuse the output — no use of Chronix Scribe to build a competing product, to train AI models, or to produce anything unlawful, deceptive, defamatory or discriminatory.
8. Resell the service without our written agreement.

If this policy is broken

We may remove content, suspend features or suspend or close an account, as clause 16 of the terms describes. Where we can, we will tell you first and give you the chance to put things right. We will report illegal activity to the relevant authorities where the law requires.
